The guest's personal link: preview and reissue

The Guest Portal opens with no password and no app: the guest follows a personal link from an email and confirms the sign-in with a 6-digit code. Every booking has its own link, and both things you can do with it — look at it and reissue it — happen on the booking card. This article covers where the portal button sits, what the preview shows, when a link gets reissued, and why the code may not arrive.
Where the link lives
Section titled “Where the link lives”The personal link belongs to the booking. In the header of the booking card, next to “Documents ▾” and the status button, there is a “Guest Portal ▾” button — it opens a menu with two items:
- “Open as guest (preview)” — see the portal through the guest’s eyes;
- “Regenerate link” — issue a new link to replace the old one.
Nobody forwards the link itself by hand in the interface — it reaches the guest by email. The link works for 30 days: all that time the guest returns to their booking at the same address.
The guest has no password: the personal link stands in for both a password and an account — no separate guest account is ever created. For a map of the booking card itself, see Inside the booking card.
Preview: the portal through the guest’s eyes
Section titled “Preview: the portal through the guest’s eyes”The preview answers the question “what will the guest see?” before they see it: whether the prices by day are in place, whether the right services are on the booking, what the hotel’s catalog looks like. It is a read-only view — nothing about the booking or the portal data can be changed from the preview.
- Open the booking card.
- Click “Guest Portal ▾” and choose “Open as guest (preview)”.
Result: the portal page opens exactly as the guest will see it on their link — with prices by day, services, and the catalog.
The preview has a lifetime of its own: it works for 1 hour, not 30 days like the guest’s link. That is no obstacle: the preview can be opened again at any moment from the same button.
Glance at the preview before calling the guest: a wrong rate, an extra service, or missing daily prices show up here earlier than the guest’s call back with a question.
Reissue the link
Section titled “Reissue the link”Reissuing switches the old link off and issues a new one. In the interface the item is called “Regenerate link”; in writing for guests and colleagues we say “reissue the link”.
- Open the booking card and click “Guest Portal ▾”.
- Choose “Regenerate link”.
Result: the old link stops working immediately — along with any sessions opened through it. A new email with the fresh link goes to the guest on its own: nothing needs to be forwarded by hand.
Reissuing saves the day in two situations:
- The link got lost or went to the wrong place — the guest needs a working one, and the old link is better taken out of circulation.
- Access through the link needs to be shut — the email landed on someone else’s address, and you want to be sure no one signs in through the old link.
If the code doesn’t arrive
Section titled “If the code doesn’t arrive”Signing in to the portal takes two steps: the guest opens the personal link and enters the code from the email. The code has 6 digits, works for 60 minutes, and allows 5 attempts to enter it. After signing in, the guest’s session stays alive for 30 days, so the code is needed once — at the first sign-in, not before every visit to the portal.
If the email with the code doesn’t arrive, check in this order:
- The spam folder. The most common reason: the portal email ended up there.
- Whether the hotel’s outgoing mail is set up. The code is sent from the hotel’s own mailbox: until a mailbox with the “Template email sending” role is connected, the email simply will not go out — the setup steps are in Connect the hotel mailbox.
- Requesting the code again. The code can be requested again, but no more than three times per hour for one booking.
Result: without outgoing mail configured, neither the code nor the email with the link will go out — so if the guest receives nothing at all, start by connecting the mailbox rather than retrying the sign-in.
Send the link to the guest
Section titled “Send the link to the guest”The link reaches the guest by email, and there are two ways to deliver it:
- On its own, through a reissue. After “Regenerate link”, an email with the fresh link goes to the guest with no extra steps.
- By hand, from the booking card. The “Messages” tab → the “Send email” button (next to “Send voucher”): the email goes out from the hotel’s mailbox. Every sending stays in the sending history — date, status, recipient, and subject are all visible.
Portal emails — the ones with the link and the sign-in code — go out in Russian. There is no way to pick another language for them or to style the email to match the hotel: these are the portal’s system emails.
Which way to choose depends on the situation: a lost link calls for a reissue — the guest gets a working one and the old one shuts down; to accompany the link with a word from the front desk, write by hand from “Messages”.
