Change or cancel a booking

Guests change their plans — and the booking should catch up in a couple of moves. Some edits happen right on the grid: the booking bar drags to a new spot and stretches across new dates. Precise changes — dates, room, price, rate — are gathered in the booking card, where each block has its own button.
What changes where
Section titled “What changes where”Open the booking card — click its bar on the grid or find the booking in the Bookings list. Then go by what you need to change.
The money never leaves your sight: the card header holds the “Finances” block with “Total”, “Paid”, and “Balance due”, and the amounts there update after every edit.
- Stay dates. The “Change stay dates” button in the card header, in the “Check-in → Check-out” block. The other way is to stretch the bar on the grid (more on that below).
- Room type and room. The “Change room type and room” button on the room block in the “Rooms and guests” tab. It opens the “Room type and room” drawer with two dropdowns — “Room type” and “Room”; pick them and press “Save”.
- Price. The “Edit price” button on the same room block. The “Price setup” drawer: the “Rate plan / Custom price” toggle, the “DATE | PRICE PER NIGHT | STATUS” table, a “VAT” switch, and the “Discount” block. The totals sit at the bottom: “Total”, “Accommodation”, “To pay”.
- Rate. The “Rate” tab of the card: the rate selector and a day-by-day breakdown of every stay line.
Two notes on money. By default the price comes from the rate assigned to the booking — the price book and its rules live in rate plans, not in the booking. The discount lives here too, in the “Price setup” drawer: a “None / % / Fixed” type, an “Amount” field, and a scope of “This room / Entire booking” — one room or the whole booking at once.
Move a booking by dragging it
Section titled “Move a booking by dragging it”- Find the booking bar on the grid.
- Drag it to a free spot on the grid.
Result: the booking has moved — the bar sits on a different row or different dates, and the amounts match.
If another booking already occupies the target cell, the move won’t go through: the “occupied” guard snaps the bar back to where it was. The method is meant for future bookings — the ones still waiting for arrival.
Three kinds of bookings cannot be dragged:
- bookings from OTA channels;
- group bookings;
- bookings of 5 or more rooms.
This is a guard against falling out of sync with the channels. For those bookings, use the button path in the card: “Change room type and room” or “Change stay dates”.
Stretch the bar to move the departure date
Section titled “Stretch the bar to move the departure date”- Grab the edge of the booking bar on the grid.
- Release it on the date you need.
Result: the departure date has changed, and the booking amount has been recalculated on the spot — nothing to fix by hand.
Stretching changes the departure date only. If the dates need to shift as a whole, the “Change stay dates” button in the booking card is the better tool.
Cancel a booking
Section titled “Cancel a booking”There is no separate “Cancel booking” button — cancellation lives in the status menu:
- Open the booking card.
- In the header, press the status button — it shows the current status, for example “Confirmed ▾”.
- Choose “Canceled”.
- Confirm: “Change the booking status to “Canceled”?” — the “Save” button.
- Wait for the “Status changed” toast, followed by the “Send the guest a voucher?” dialog — “Don’t send” or “Send”.
Result: the booking is in the “Canceled” status, and its spot on the grid is free again.
A separate status, “No-show”, is for guests who never arrived. It is not the same as “Canceled”: a cancellation is a booking given up in advance, while a no-show means the arrival day passed and the guest never turned up.
If payments were taken on the booking, you can return the money right there in the card. Online payments are refunded through the Stripe gateway; details — in Refunding a guest: full and partial refunds.
What the guest and the channel see
Section titled “What the guest and the channel see”- The channel. If the dates or the room change on an OTA booking, the changes travel to the channel automatically — nothing to send by hand.
- The guest. The cancellation policy terms are snapshotted into the booking itself (the “Cancellation Policy” tab) — those are the ones that apply. To confirm the new terms with the guest, send a message: the “Messages” tab, with the “Send voucher” and “Send email” buttons.
