Manual discount on a booking

In HotelsCalendar, a discount is a front desk tool: the guest asks, the administrator applies it. There is no separate “Discount” button on the booking card — a discount is part of the room’s price settings, inside the price drawer. Manual pricing lives there too — the “By rate / Custom price” switch — but this article is about the “Discount” block. A discount is either a percentage or a flat amount, and it covers either one room or the whole booking at once.

  1. Open the booking card and go to the “Rooms and guests” tab.
  2. On the room’s block, click “Change price” — the price drawer opens.
  3. In the “Discount” block, pick a type: “None” for no discount, ”%” for a percentage, or “Fixed” for a flat amount.
  4. With ”%” or “Fixed”, an “Amount” field and a scope — “This room” / “Whole booking” — appear next to it.
  5. Enter the size: for ”%”, how many percent to take off the stay; for “Fixed”, the amount in money.
  6. Pick the scope: “This room” — the concession applies to the selected room only; “Whole booking” — it spreads across every room on the booking.
  7. Check the totals at the bottom of the drawer: “Total”, “Accommodation”, and “To pay” recalculate immediately, before you save.
  8. Click “Save”.

Your reference for the base price is the “Accommodation total” line above the “Discount” block; the totals at the bottom of the drawer (“Total”, “Accommodation”, “To pay”) already show the figure with the chosen discount on.

Result: the discount is on — the “To pay” amount has dropped by the discount, and the new totals have landed on the booking card.

You can also discount on the fly, while creating the booking: in the quick form from a free grid cell, the “Rate and price” block already carries a discount — a ”%” type and a “Discount amount” field. Fill them in before clicking “Create”, and the booking is saved at the conceded price right away. The full walk-in path is covered in Walk-in guest: from front desk to the key.

Once saved, the discount surfaces in two places on the card:

  • The “Rate” tab, the day-by-day breakdown. The “Discount” column sits between “Extras” and “Total”: for every night you can see how much the discount took off and what it did to that night’s price.
  • The “Finances” summary in the card header. “Amount”, “Paid”, and “Balance due” are shown after the discount — the header does not keep the discount as a separate line; it lives inside the totals.

Result: when a guest asks “what do I owe?”, the header summary answers; the day-by-day breakdown explains how each night’s price was built — discount or not.

The drawer asks two questions — what kind of concession, and what it covers:

  • ”%” — a percentage of the stay. The choice for verbal agreements: “make it ten percent off” — enter 10 in “Amount”, and the figure computes itself.
  • “Fixed” — a flat amount. The choice when you have settled on an exact figure: enter the amount in “Amount”, and it comes off the accommodation.

The scope decides what the concession lands on:

  • “This room” — the discount applies only to the room whose price drawer you opened.
  • “Whole booking” — the discount spreads to every room on the booking.

On a multi-room booking this matters: conceding on the whole deal — pick “Whole booking”; lowering the price of a single room only (say, the one without a view) — “This room”.

Result: ”%” when the concession is in percent, “Fixed” when it is in money; the scope says whom the concession touches — one room or the whole booking.

A discount comes off where it went on:

  1. Open the booking card → the “Rooms and guests” tab → the “Change price” button on the room’s block.
  2. In the “Discount” block, set the type back to “None”.
  3. Click “Save”.

Result: the discount is gone — “To pay” in the drawer and the “Finances” summary in the header return to the previous amounts.

If the real task is not the discount but the booking itself — dates, room, status — those are different tools on the card, covered separately.
