HotelsCalendar is sold as one subscription: you pay for the service, not for each module or booking separately. This article covers what the subscription includes, how the free period starts, where to check the status, what counts as units, and how refunds and cancellation work.
What the subscription includes
Section titled “What the subscription includes”One subscription covers all four modules: the PMS, the Booking Engine, the Guest Portal and the Channel Manager. Modules are not charged separately — there is nothing to switch on one by one and no pile of bills to add up.
By role: the PMS runs the property’s day-to-day operation, the Booking Engine sells from your own website, the Guest Portal handles self check-in and guest questions, and the Channel Manager syncs sales channels. All of it sits inside the same subscription.
The bill contains the subscription only: no commissions on bookings, no per-module fees. Guest payments are a separate circuit — a guest’s booking and your subscription bill have nothing to do with each other.
The trial and getting started
Section titled “The trial and getting started”The first 14 days are a free period with full access: the whole of HotelsCalendar, not a cut-down demo.
Getting started works like this: you link a card through Stripe — €0 is charged today, and the charge happens after the trial. In the interface this step looks modest: on the “Billing” tab there is a “Link card” button and the caption “Link your card to start the free period.” The interface never uses the word “trial” — “free period” is exactly that.
Where to check the status
Section titled “Where to check the status”The subscription status lives in “Settings”:
- Open “Settings” in the left menu.
- Open the “Property profile” card — it leads to the “Profile” page subtitled “User account and property account settings”.
- Switch to the “Billing” tab.
On top of the tab is a per-property table with the columns Property · Legal entity · Status · Plan · Price · Card · Change window. Until a card is linked, the “Status” column reads “Waiting for a card to be linked” and the other columns are empty (”—”) — that is not a fault, the subscription simply has not been set up yet.
Expand the row and you get the “Property subscription” block: “No subscription yet” and the same start behind the “Link card” button.
The unit of subscription is the property. Several properties in one account mean several subscriptions, each with its own plan, status, and card.
A subscription is counted in units: rooms, beds, or apartments — depending on how the property sells accommodation. Whatever the property offers a guest as a place to sleep is a unit: a standard room, a bed in a dorm, a separate apartment unit.
Refunds and cancellation
Section titled “Refunds and cancellation”Two rules for the case when it does not work out:
- Refund — if you change your mind within the first 7 days after a payment, the payment comes back.
- Cancellation — any time. The paid period is worked out to the end: the service stays available until the paid term is over, it does not cut off mid-period.
What is not there
Section titled “What is not there”An honest list of boundaries:
- A plan grid with prices — no list of plans to choose from on the “Billing” tab: the table shows one subscription, for the property.
- PDF invoices — for you or for the guest: there are no invoices to download in the billing.
- A separate trial screen — the free period starts in the same “Billing” tab, behind the “Link card” button.
- Do not confuse the subscription plan with the rate: the rate is the rules by which the property sells rooms to guests; the subscription plan is the payment for the HotelsCalendar service itself. Rate settings do not touch the subscription.
