Move a guest to another room

The guest asks for another room, something breaks, plans change — the booking moves to another row of the Planner when you drag its bar. The system tells a room move of a staying guest apart from rescheduling a future booking: the mechanics are the same, the reaction is different. Below: both scenarios, the dialogs, and what happens to prices.
A room move is not rescheduling a future booking
Section titled “A room move is not rescheduling a future booking”The action is one — drag the booking bar somewhere else on the grid. What the system does next depends on whether the guest is already living in the room.
- A room move — the room changes on a live booking: the guest physically relocates from one room to another. The system will ask a separate confirmation question and create a housekeeping task for the old room by itself.
- Rescheduling a future booking — the booking is still waiting for its arrival date, nobody has to physically go anywhere: this is planning. No warning appears — the move dialog opens right away.
Move a booking with the mouse
Section titled “Move a booking with the mouse”- Open the Planner and find the booking bar.
- Drag the bar onto a free room — for the dates you need.
Result: the booking is on its new room, with its prices and payments intact.
Two safeguards fire on their own:
- The target cell holds another booking — the move will not go through, and the bar snaps back to where it was. Look for free space on the neighboring rows of the grid.
- Bookings from OTA channels, group bookings and bookings of 5 or more rooms are not moved by mouse — a safeguard against desynchronization with the channels. For those, only the booking card works (see below).
A checked-in guest: the two-step move

Step 1. The system asks for confirmation — the “Guest already checked in” dialog:
“This booking has a checked-in guest — are you moving them physically? This will create a housekeeping task for the source room.”
Under the text is the transition “205 → 201” (from → to) and two buttons: “Cancel” and “Yes, move”. Cancel and nothing changes.
Step 2. The “Move booking” dialog: check the prices — the next section covers how — and click “Apply”.
Result: the booking is on its new room, and a housekeeping task has been created for the old one.
About housekeeping, exactly what the dialog promises holds: the task is created by the system itself. There are no visible housekeeping statuses in the interface — rely on your own cleaning process. The status of the booking itself does not change in a room move.
Prices during the move
Section titled “Prices during the move”The “Move booking” dialog shows the whole arithmetic before you commit. The subtitle reads: “Dates have changed — check the new price.”
The main switch is “Keep prices unchanged”, with a hint: “Move without recalculating the total — current daily prices are used.”
- On — the total is not recalculated. This protects manual prices: a price you set by hand does not get lost in the move.
- Off — the system recalculates: “By rate plan” recalculates from the daily prices of the rate plan, “Custom price” lets you set the per-day prices yourself in the “DATE / PRICE PER NIGHT / STATUS” table.
The “Rate and room type” block shows the booking’s rate and the “Room type for calculation”. The rest carries over as it is on the booking: “Discount” (“None”, ”%”, “Fixed.”) and “VAT” keep their values. At the bottom — “Total for the stay” and “To pay”; “Apply” finishes the move with those sums, “Cancel” closes the dialog without changes.
Without the mouse: on the booking card
Section titled “Without the mouse: on the booking card”For OTA bookings, group bookings and bookings of 5 or more rooms — and for everyone who prefers buttons:
- Open the booking card: click the bar on the Planner or the row in the “Bookings” list.
- On the “Rooms and guests” tab, click “Change room type and room” on the room block.
- In the “Room type and room” drawer, pick the “Room type” and the “Room” and click “Save”.
Result: the booking on its new room type and room — the same way you make any other booking edit.
If the button on your screen is named differently, look on the room block for the action that changes the room type and room — the idea is the same. The full map of edits is in Inside the booking card.
What is not there
Section titled “What is not there”Honest boundaries:
- Past bars do not move. Bars dated before today are inactive on the Planner — they cannot be dragged or stretched. Moves and rescheduling are about the present and the future.
- Housekeeping — only what the dialog promises. “This will create a housekeeping task for the source room” is everything the system does and guarantees at the moment of the move. No separate housekeeping screens or statuses appear alongside: keep the control in your own process.
- The booking status does not change. A room move is not a cancellation and not a no-show: the booking keeps its status, only the room changes.
