Services on a booking: add them at the desk

A guest at the front desk asks for breakfast for two, an airport transfer, or a late check-out — adding any of this to the booking takes a minute. You pick the service from the hotel’s catalog, the price fills itself in, and the amount is immediately visible in the booking’s money. Nothing needs recalculating by hand: once the service is saved, the totals are up to date.
Add a service
Section titled “Add a service”A service is added when the guest asks for something at the desk or when you have agreed on it in advance: breakfast for tomorrow, a spa session for the evening, parking for the whole stay.
- Open the booking card and go to the “Extras” tab.
- Click “Add service”.
- Fill in the “Add service” form:
- “Service”* — pick one from the hotel’s catalog, for example breakfast, a transfer, or a spa session;
- “Frequency”* — “Once” by default;
- “Date”* — the day the service belongs to;
- “Quantity”* — how many;
- “Price”* — filled in automatically from the catalog;
- “Description” — an optional note.
Fields marked with an asterisk are required: the service, the frequency, the date, the quantity, and the price. The date is the day of the stay the service belongs to: breakfasts go on the booking’s days, a late check-out goes on the departure day.
- Click “Save” — a “Service added” notification pops up.
Result: the service appears as a row in the tab’s table, and its amount is now part of the card’s totals.
For each added service the table shows the columns “Service | Type | Frequency | Date | Time slot | Quantity | Price | Amount | VAT”. The “Type” column shows how the service is sold: “Quantity” — by count, or “Time slot” — for a specific hour. Scheduled services carry a time in their row, for example “4:15 PM — 5:15 PM”.
The “Extras” tab is one of the twelve tabs of the booking card. Its neighbors are about the booking’s money too: “Payments” — what has been paid, “Rate” — the price of the stay, “Meals” — the meal plan.
The amount goes to the balance due right away
Section titled “The amount goes to the balance due right away”The moment a service is saved, its amount lands in the “Finances” block of the card header: the “Extras” line grows, and the same amount is added to the balance due — what the guest still has to pay. The booking total changes too. There is no separate recalculate button: add breakfast for two, and “Extras” grows — with the balance due growing by exactly the same amount.
The “Finances” block lays out the booking’s money line by line: the stay, “Extras”, what has been paid, and the balance due. The service also shows up in the day-by-day breakdown — the “Rate” tab has a “Details by day” table with its own “Extras” column. When the guest asks how much is left to pay, the answer is in those lines.
The guest sees the same money on their side: the Guest Portal shows the booking’s amount due, and ordered services are part of it.
Taking the money itself is a separate step: payments on a booking are recorded on the “Payments” tab of the card — the routine is described in Record a guest payment.
Remove or change a service
Section titled “Remove or change a service”To take a service off the booking, click the button in its row and confirm: a “Remove this service from the booking?” prompt appears — click “Save”. A “Service removed” notification pops up, and the header totals go back to what they were.
Result: the service is gone from the table, and “Extras” and the balance due have been recalculated back.
To adjust a service that is already on the booking — the quantity or the date, for instance — the simplest way is the same: remove it from the booking and add it again with the values you need. If the guest gives up breakfast or cancels a transfer, no leftover service should remain on the booking: remove it, and the booking’s money matches what was agreed again.
The service catalog
Section titled “The service catalog”The services that can be added to a booking live in the “Service catalog” section of the PMS left menu. At the top there is a “Search services…” field and an “Add service” button that creates a new service in the catalog.
Each card is one service: a name, a short description, a price, and tags that show how the service works:
- price and charging basis — per person, per booking, or per room;
- frequency — “Daily” or “One-time”;
- where it is sold — “Everywhere on the website” or “With the booking”;
- scheduled services carry a “Time slots” tag.
The tags read like this: “per person” — the service is counted for each guest, “per room” — for the room, “per booking” — one amount for the whole booking; “Daily” — a service for every day, “One-time” — once.
A typical hotel set looks like this: breakfast — per person, daily; a transfer — one-time, per booking; a late check-out — a one-time service; parking — per room, daily; a spa session — for a specific time slot. The property defines the set and the prices itself: services are created in the catalog, and from then on they are available both at the desk and on bookings. If a service is not sold for a while, it is switched off in the catalog; the “Translations” button leads to the name and description in other languages. If the service you need is not in the catalog, create it there first — then add it to the booking.
Service prices and guest orders
Section titled “Service prices and guest orders”- Service prices are not in the rates. A rate sets the price of the stay; a service’s price lives not in the rate but in the “Service catalog” — and the add form pulls it from there, at the moment of adding. Create a service in the catalog, and you can add it to any booking.
- The guest can order a service themselves — in the Guest Portal, via the personal link to their booking: the order lands in the booking and in its total right away, and for scheduled services the guest picks a free time slot. Portal orders show up in the same “Extras” tab as services added at the desk. For details, see Guests.
