Extra services and time slots

LimitationsA service is created in the services catalog first — until then it exists nowhere: not in the module, not at the desk. The pricing model has four allowed combinations of price type and frequency. The mode — quantity or time slots — is chosen once, when the service is created.

Hotel services live in the PMS services catalog and sell in three places at once: in the booking module’s checkout, on the services showcase — a separate block for your website — and at the front desk, on the booking card. Every service gets a pricing model, and services with a schedule get time slots: the guest books not a quantity but a specific hour.

A service’s pricing model is built from two selectors: price type and frequency. The price type decides what the price applies to: per booking — one amount for the whole booking, per person — for each guest, per room — for each room. The frequency decides how many times it is charged: one-time — a single charge per booking, daily — for every day of the stay.

The two selectors are linked: the price type options are filtered by frequency, so there are four working combinations, not six.

The practical order: pick the frequency first, then the price type — only the matching options stay in the list. Per person works with both frequencies, per booking pairs only with one-time, and per room only with daily.

Outcome: the service price is calculated on a clear basis — for the whole booking, per person, or per room — once or for every day.

Services delivered at a specific time — a spa session, for instance — do not need a quantity: they sell by slots. In the service form, switch the mode from quantity to time slots: the frequency field disappears, replaced by the slot settings.

  • Duration — the length of a slot, in minutes;
  • Capacity — how many guests fit into one slot;
  • Buffer — a pause between neighboring slots, in minutes;
  • Runs on a schedule — a weekday schedule, Monday through Sunday.

The schedule is set separately for each day, and the slots are counted automatically from the duration, capacity, and buffer: a day from 9:00 to 18:00 with one-hour slots means 9 slots. When “Runs on a schedule” is off, the service is available around the clock.

A slotted service has no frequency field: the slot itself determines both the day and the time of delivery. On a booking, such a service shows its specific time, for example “4:15 PM — 5:15 PM”.

Outcome: the guest picks an open hour, and the capacity and schedule keep bookings within what the property can actually serve.

A service does not require a room: the services showcase sells them separately from a booking. The guest picks a date, puts services into a cart, and pays — with no room selection. The showcase embeds on the website the same way as the widget — with code from the “Embed code” page in the PMS — so it can live on the spa page or a dedicated services page.

The showcase picks up services sold as “Sold separately on the website” or “Everywhere on the website” — that choice is made in the service settings, covered below.

Outcome: spa, tours, and transfers sell on your website even to guests who are not staying at the property.

  1. In the PMS, open the services catalog — it is in the left menu. The “Add service” button creates a new service.
  2. In the form, choose the mode — quantity or time slots.
  3. Set the name, description, and price. For the quantity mode, build the pricing model: frequency first, then price type. For the time slots mode — duration, capacity, buffer, and schedule.
  4. Choose where guests see the service — the booking module selector: “Included in the booking”, “Sold separately on the website”, “Everywhere on the website”, or “Front desk only”. The default is “Front desk only” — if the service should sell on the website, choosing explicitly is required.
  5. For services with a limited number of places — parking, spa — turn on limited availability.
  6. Review the restrictions: how many days before check-in the service can be booked, the minimum and maximum length of stay, and the payment method in the booking module — “Pay at property” by default.
  7. Check the “For all room types” and “Active” checkboxes and save the service.

Outcome: the service appears in the catalog with its badges — the price basis, the frequency, where it sells, and, for scheduled services, the time slots marker. The same badges sit on the service card and show at a glance how the service is charged.

Services need no separate setup — they reach the module on their own.

  • In checkout, both the widget and the full module have an extras step: services sold as “Included in the booking” or “Everywhere on the website” appear there automatically from the catalog. With no services in the catalog, the step hides itself — nothing to configure.
  • The services showcase is a separate block: its code comes from the “Embed code” page in the PMS and goes onto the website page where services should sell without a stay.

Outcome: enable a service in the catalog and it is already in checkout; want to sell without a stay — put the showcase on a dedicated page.

The booking already exists and the guest asks for breakfast tomorrow or parking — the service is added to the booking card at the front desk: on the extras tab it is picked from the same catalog, the price fills itself in, and the amount goes straight to the booking’s balance due.
